Seeing "Your storage is almost full" in Gmail? Google's free 15 GB is shared across Gmail, Google Drive and Google Photos, so space can run out faster than you expect. If it fills up completely, you may stop receiving email. Here's how to find what's using space and free it up quickly.
Key takeaways
- Google storage is shared across Gmail, Drive and Photos. Free accounts get 15 GB in total.
- Find large emails with has:attachment larger:10M and delete what you don't need.
- Check Drive and Photos, which often use more space than email.
- Empty Trash and Spam. Deleted mail still counts until Trash is emptied.
Why it matters
When your Google storage is full, Google says you won't be able to send or receive emails in Gmail, upload new files to Drive, or back up photos. Emails sent to you may bounce back to senders. Freeing space quickly restores normal service.
Step 1: See what's using space
Visit one.google.com/storage (or Google One storage management) while signed in. It shows how much space Gmail, Drive and Photos each use, and offers a clean-up tool that groups large files, deleted items and spam.
Step 2: Find large emails
Search has:attachment larger:10M and delete what you don't need. Try these searches too:
| Search | Finds |
|---|---|
| has:attachment larger:10M | Emails with attachments over 10 MB |
| larger:5M older_than:1y | Old emails over 5 MB |
| filename:mp4 OR filename:mov | Emails with video attachments |
| category:promotions older_than:6m | Old promotional emails |
Download any attachments you want to keep before deleting. For mass deletions, see how to bulk delete old emails in Gmail.
Step 3: Check Drive and Photos
Google storage is shared across Gmail, Drive and Photos. - Drive: open drive.google.com, click Storage in the left menu, and sort by size. Big videos, backups and old shared files are common culprits. Files in Drive's Trash still count until you empty it. - Photos: in Google Photos, look for a storage management or "free up space" option. Delete blurry shots, screenshots and large videos you don't need. Photos and videos backed up in Storage saver quality still count toward your storage. - Device backups: Android phone backups can also use Google storage.
Step 4: Empty Trash and Spam
Deleted mail still counts until Trash is emptied. Gmail permanently deletes items in Trash and Spam after 30 days, but you can empty both right away: 1. Open Trash (under More in the left menu) and click Empty Trash now. 2. Open Spam and click Delete all spam messages now.
Storage numbers can take up to a day or so to update.
Quick wins checklist
- Delete emails with big attachments.
- Bulk delete old promotions and social notifications.
- Empty Gmail Trash and Spam.
- Sort Drive by size and delete large files you don't need.
- Empty Drive's Trash.
- Clear large videos and duplicates from Photos.
Keep it from filling again
- Unsubscribe from newsletters you don't read. See how to unsubscribe safely.
- Set up filters to sort routine mail. See email filters that keep your inbox clean.
- Save large attachments to your computer or another service and delete the email.
- Ask people to share big files as links instead of attachments.
Should you buy more storage?
If you've cleaned up and still need space, Google One plans add more storage, shared across Gmail, Drive and Photos, and can be shared with family members. Compare the cost with how much space you actually need, and remember that a clean-up every year or two may be enough.
What about other email services?
Outlook.com and iCloud Mail have their own storage limits. Outlook.com mailbox storage is separate from OneDrive for many free accounts, while iCloud Mail shares Apple's 5 GB free iCloud storage with backups and photos. The same principles apply: find big attachments, empty deleted items, and check what else shares the space.
Don't fall for fake "storage full" emails
Scammers send fake storage warnings that link to lookalike login pages. Real Google storage warnings appear inside Gmail and Google One. If you get an email, don't click the link. Go to one.google.com directly instead.
Large attachments you may not realize you have
Common hidden space-users include old email threads with photo attachments, scanned documents sent to yourself, video clips from family, and presentation files from work or school. Search filename:pdf larger:5M, filename:pptx or filename:zip to find them.
Using a work or school account
If you use a Google Workspace account from an employer or school, storage limits and options are set by the organization. Contact your IT administrator before deleting anything that may need to be kept for records, and don't buy personal storage for a work account.
